POSTPONEMENT, REFUNDS AND TRANSFERS POLICY (T&C)

1.        Event postponement and refund policy

1.1      Participant acknowledges that Total Sport reserves the right to:

(a)       change the format of this event (and/or route of the Event) where it may become necessary or desirable to do so due to circumstances beyond the control of Total Sport, and if that occurs, Participant consents to the changes and agrees that each and every one of the Event rules, terms and conditions will apply to that changed Event; and

(b)       postpone or cancel the Event whether due to poor weather, natural disaster, pandemic outbreak, any Force Majeure Event, or for any other reason beyond Total Sport's control. If the Event is cancelled (or postponed and Participant cannot make the postponement date), Participant acknowledges and accepts that Participant's entry fee is non-refundable, however, Credit will be given in accordance with clause 3.4.

1.2      Total Sport will make reasonable endeavours to postpone the Event rather than cancel.

1.3      If Total Sport cannot postpone the Event (or if the Event has been postponed once before already and the postponed Event cannot go ahead) the Event will be cancelled and a Credit will be issued.

1.4      Where the Event is cancelled in accordance with clause 3.1(b) Participant acknowledges that the amount of Credit given will depend on the amount of lead time between the circumstances rendering the Event cancelled (i.e. government lockdown announcement or weather event) and the Event date and:

(a)       where there is more than 2 weeks’ notice, 100% Credit will be given; and

(b)       where there is 2 weeks’ notice or less, 50% Credit will be given.

TRANSFERS AND EVENT CREDITS

You cannot transfer your entry to anyone else.

If a participant is sick or injured and cannot participate in the event, you can withdraw from the event and receive an event credit for the 2027 event. The event credit you receive will be your entry fee minus a $50 admin fee.

To be eligible for the event credit you need to withdraw by 4th October 2026. No credit will be given in the final 2 weeks prior to event.

To withdraw please email tauporego@totalsport.co.nz to let us know you would like to withdraw from the 2026 event and be added to the 2027 credit list. We will take the $50 admin fee off of what you have already paid and hold the balance. When you are ready to enter next year email us again and we will generate a code for you to use for your 2026 entry. 

The code will have your credit loaded on it and you will need to pay whatever difference there is between the 2026 and 2027 pricing at the time you enter.

CHANGING DISTANCES

You can change up or down distances until 4th October 2026 (entry limits permitting) but you will not get any partial refund.

EVENT DISCLAIMER

Taupō Ultramarathon event disclaimer: I have read and understand the information regarding this event and understand that I participate in this event at my own risk. I hereby attest and verify that I am physically fit and have sufficiently trained for this event. I agree to comply with the rules and directions of event officials and their personnel. I hereby allow the use of my name and image to be used in the media and for marketing purposes, and accept that my details will be added to the Taupō Ultramarathon event database. I agree to a drone flying above me to take images during the event. I accept that if my actions result in a Search and Rescue effort being undertaken I will be liable for the costs. I also understand that I will be contacted via email by Taupō Ultra Ltd from time to time in regards to upcoming events and promotions. I hereby agree that in the case of event cancellation due to extreme inclement weather (at the discretion of event officials), natural disasters, pandemic outbreak or any other reasons beyond the Event Directors control (force majeure) my entry fee shall be entirely non-refundable. I hereby acknowledge this waiver, release and indemnity discharge all persons, corporations, associations and bodies involved or otherwise engaged in promoting or staging the event and their servants, agents, representatives, officers and employees. This includes but is not limited to Taupō Ultra Ltd, the various committees, members, and employees of all independent contracted suppliers to the event, local and regional councils, cities and districts and their respective officers, directors, employees, independent contractors, representatives, agents, volunteers, event organisers and sponsors whether or not the loss, injury or damage is attributed to the act or neglect of any or more of them.

WHY THE SEARCH AND RESCUE CLAUSE?

What the Search and Rescue part of the terms and conditions cover is a situation where an athlete withdraws from the event without letting our marshals or officials know. We kick off a search effort but meanwhile the athlete is having a drink on the lakefront, which is fine for the said athlete but not so for everyone else!
